This is the official list of changes to the Fancy Dress Heaven web site. Its starts with a description of the standard testing procedures. SHORT TEST Every time any change is made on the live site a standard SHORT TEST is carried out - 1. Create a new test account " Test Account <6 DIGIT - DATE>". Make an error by deliberately missing out your surname the first time the account is made each time. 2. As the top line of the address field note - TEST PURCHASE DO NOT SHIP 3. Make a purchase of item 5296 Realistic Replica Pirate Pistol (purchases affect the sort order both in searches, bestseller list and our special category sort order module - so we make this an item that we think is of interest to customers). 4. Purchase with insurance and select "fastest as delivery method" (should be no change in actual delivery in this case) 5. When the purchase is complete check the admin system to make sure that it has gone through correctly (including shipping costs and all details needed to ship the items from the warehouse [address etc]. 6. In the customers notes note that it was a test purchase. 7. Refund the purchase (enter reason TEST PURCHASE DO NOT SHIP) 8. Delete the new account and purchase in admin system. 9. When you are sure that the test is complete and correct note that it was carried out in you site changes file and 10. If you have to revert the system please retest as above again after doing so so that it has always been tested before being left live. To Do: Change welcome email. The includes/classes/order.php file was howe er changed on the 7th PACKING LIST AND SUPPLY SYSTEM (PS System) needs to be tested in real life. Aug 1, 2008 Item Reservation System (Zen Cart Reporting) IR System Change: 977915 This added custom module includes a php page that shows the most popular 40 items from each manufacture bought from a Zen Cart store in the last four weeks. It is specifically used to determine which items need to be bought by suppliers in the next two months. Each week we need to be able to send manufacturers our needs over the next 8 weeks so that they can order in or manufacture products to be sold to our clients. To predict what we need we need to be able to individual manufacturers (1) What the top 40 items needed are for the next 6 weeks (based on the items LOOKED AT over the past 4 weeks) (2) What the items Product Code is. (3) Number of items needed. This is currently fixed at 80 for top 10, 40 items of each type for items 11-40, in this bid. In the future there will be an algorithm determining numbers. Change: 977410 When we set an availability date for a product that is not currently available, the text giving the availability date on the product page appears at the bottom of the product description. We want this text to appear at the top of the product description instead. We also want to change the standard text. Jul 31, 2008 New order statuses Change: 969345 Status Management System (SM System) Adding new order statuses and adding the ability for us to select from sub-statuses to set a status that we will see as a combination of the phrases listed as sub-statuses. The emails in the admin panel can be changed, but the new email is saved only in the Just-In-Time database, not in the original zen_cart_manufacturers table. This is because the original specification called for these two tables to remain independant. But I can have the script update both tables if you want. On the other hand, it's not necessarily a bad thing if the manufacturer has the possibility to use one email for packing slips and a different email for the web site. I just put the email sending out of test mode, so slips will be mailed to the real addresses from now. As for new scripts that the coder can use, there is this one here that he start to work with http://fancydressheaven.co.uk/tools/dropship/test.php New Class Statuses There are a large number of new statuses that are combined statuses composed of the sub-statuses listed below. These new statuses will include all the combinations involving one or none of the phrases from each of the groups below. The new statuses will never include more than one phrase from the same group. Rather than choosing from the normal drop down box, we want to be able to select either one of statuses 1-5 listed above, or one or more of the 'sub-statuses' listed below. Selecting one or more of the sub-statuses will set the corresponding new combined status, that includes all the phrases selected (it may be one phrase, two, or more, as many as are selected). The combined statuses would exist in the database, the sub-statuses would exist just in the javascript. synchronising the responses from the PS System with the new statuses. There is a slight difference in what needs to happen depending on whether the supplier is a drop-shipper or not. So just to remind you, the drop shippers are set at the stage where you set up the manufacturers' pages in the PS System. (Presumably those toggles are stored somewhere.) FOR DROP-SHIPPERS: When the email giving the drop-shipper the link to the items we want to order is sent, we want the status of the orders containing those items to be affected as if the box 'Have you ordered some or all items for this order?' has been ticked, in other words the appropriate bit should change from 0 to 1 (if it's not 1 already). When the drop-shipper clicks the 'Create Packing Slips' button, we want the status of the orders containing items that have been clicked as 'Shipping Today' to automatically be affected as if the box for 'Have you shipped part or all of this order?' has been ticked, in other words the appropriate bit should change from 0 to 1 (if it's not 1 already). Also when the drop-shipper clicks the 'Create Packing Slips' button, we want the status of the orders containing items that have been clicked as 'will order today', to be affected as if the box 'Have you ordered some or all items for this order?' has been ticked, in other words the appropriate bit should change from 0 to 1 (if it's not 1 already). Also when the drop-shipper clicks the 'Create Packing Slips' button, we want the items that have been clicked as 'No longer Available' to be turned off in the web site admin system. FOR NON-DROP-SHIPPERS: When the email giving the link to the items we want to order is sent, this does not affect the status at all. When the 'Create Packing Slips' button is clicked, we want the status of the orders containing items that have been clicked as 'Shipping Today' to automatically be affected as if the box for 'Have you ordered some or all items for this order?' has been ticked, in other words the appropriate bit should change from 0 to 1 (if it's not 1 already). Also when the non-drop-shipper clicks the 'Create Packing Slips' button, we want the status of the orders containing items that have been clicked as 'will order today' to automatically be affected as if the box for 'Have you ordered some or all items for this order?' has been ticked, in other words the appropriate bit should change from 0 to 1 (if it's not 1 already). Also when the non-drop-shipper clicks the 'Create Packing Slips' button, we want the items that have been clicked as 'No longer Available' to be turned off in the web site admin system. Temporary Statuses Set: 1) Uncleared Payment (this is unusual but occurs sometimes, e.g. for payments by echeque through paypal. Currently these are listed as Pending) 2) New Order (usually as soon as the customer orders. Currently these are listed as Processing) 3) Legacy Shipped (currently 'shipped') 4) Legacy Update (currently 'Update') Then we want: 5) In Progress at Warehouse Then there is a gap in order status IDs, which should be retained, then a number of Google Checkout statuses. If you think the order status ID numbers of these Google ones can be changed without causing problems for future Google Checkout integration, these IDs should be changed so that the Google ones come after all the other statuses, again after a gap. If not their current order status IDs should be retained and the new statuses should follow after a gap in the status IDs. Typically pages load in about 4 seconds. With 100 customers on site this is down to about 13 seconds. With 200 customers on site it increases further to about 30 seconds (effectively unusable). Please update your website by 21.04.2008. 8. Added: Dynamic Page Element shows which search engine referred the user and what the search term was on main pages tools/traffic_source 9. Currently being tested: PACKING LIST AND SUPPLY SYSTEM (PSS) Stand alone script which reads the database of a Zen Cart shop and creates an html report (or even better PDF/RTF say which you are offering in your bid) document which it emails to one of a number of specific addresses. Should go into tools/suppliers . The aim is to create a module that automatically contacts a number suppliers to instruct them to ship items ordered from our shop over the last 24 hours. This script or module will (1) Run as a stand alone script on our site without changing any of the existing Zen Cart modules in any way. You can duplicate existing Zen cart code but it must be put in the new folder and not depend on the main site code. (2) it will run from a folder on our site "http://www.fancydressheaven.co.uk/tools/suppliers" (3) you will be required to fully document it in a txt file placed in the folder thus "http://www.fancydressheaven.co.uk/tools/suppliers/readme.txt" (4) The script will run from a cron job set to run every hour. (5) HOW IT WILL WORK (5a) An extra stand alone database will be created to hold (i) suppliers name (read from an existing supplier in the main database to keep the supplier filed names and numbers in sync), (ii) a flag called Dropshipper [Y/N] to indicate whether the supplier will be contacted using this system, (iii) A separate time (in GMT/BST) for each supplier to carry out the mailing each day, (iv) the suppliers email address, (v) the suppliers fax number (vi) an automatically generated supplier password that we can change. (5b) The script will check to see if any of the suppliers are due to have their daily email sent to them [e.g. "Jonesies" might ship their last orders at 17:00 GMT/BST]. If any ship at this particular hour [e.g. it might be 17:05 right now] then -> (5b) The script will check the orders pending for products from the appropriate supplier in our zen cart database. [e.g.at 17:00 GMT there may be 2 orders for "White Zoot Suits" from "Jonesies" amongst several hundred other orders sitting on the system waiting to be shipped]. The script automatically emails the supplier with a list of every order for their products and a covering note and the item order number or says "NO ORDERS TODAY" (5c) There is also an administration link which they can access with the username and password which will be part of the link emailed to them. When they log in they will see -> (5d) A list of all of todays order's which need shipping each with three radio buttons with options . The most recent orders are first. They are instructed to select which choice applies individually for each item. If any item is checked they are asked to confirm that the item is really no longer available by a javascript pop up and never will be as follows "Can you please confirm that item ??? is really never going to be available again. If you confirm then we will remove it from our database forever and never offer it to our customers again. Are you sure that you want to do this?". (ii) The customer gets an email to say that the item is no longer available. ** (5e) When they press the "create packing slips" button three things happen. (i) all the items that they have marked are marked in the database as "shipped" (which I think in the standard Zen cart is the toggle "delivered") AND (ii) a single printable document is produced in RTF, PDF or HTML (the former are preferred). This document comprises an individual packing list for each customer each on a separate page (or multiple pages if needed). (iii) The customer gets an email saying that the item is being shipped to them today. -> (5f) For items confirmed as turn the product status to OFF in the Zen cart database so that it is automatically removed from being visible on our site and automatically email us at admin@fancydressheaven.co.uk subject line "ITEM DISCONTINUED: " (5g) For items marked an order list is created which is the first page of the generated document. The customer gets an email saying that the item is shipping from the supplier to the UK warehouse today. (5h) Items that have been marker will continue to show up on the a list of all of today's order's which need shipping but are marked ORDERED AWAITING ARRIVAL. The option will no longer shows up and instead of the option shows up which has the same effect. The customer gets an email saying that the item is being shipped to them today when this is selected at the same time the item is added to today's packing lists. 19th 1. Categories for Rubies and Charlie Crow removed because import script in tools/uploader is uploading model numbers to product ID position. Database needs to be reverted.
